Specific terms and conditions for groups

To give you the best protection, Évadons-nous is finalising its membership of the Belgian Travel Guarantee Fund: your payments will be fully protected. We are using the end of the year to prepare our 2027 trips. Discover them now!
These terms apply to tailor-made trips organised for a pre-formed group (association, club, school, company, family…), from 20 participants. They supplement our general terms and conditions of sale. In case of difference, these specific terms prevail.
1. Quote
The quote is free and without obligation. It is valid for 15 days. The price is calculated for the date, number of participants, departure point and services stated in the quote. The coach, hotels and visits are only guaranteed after confirmation.
2. Confirmation and deposit
The trip is confirmed on receipt of the signed quote and a deposit of 40% of the total price.
3. Balance, final number and list of names
- Day trip: balance payable 14 days before departure.
- Trip with overnight stay(s): balance payable 30 days before departure.
On the same date, the group leader sends us the final number of participants and the list of names, as well as the room allocation for a trip with overnight stays. If the balance is not paid by that date, we may consider the trip cancelled by the group, with the fees in article 6.
4. Number of participants and price
The price per person depends on the number of participants. If the final number is lower than in the quote, the price per person may be revised: we will let you know before the balance is paid. A group trip has at least 20 paying participants.
5. Free places
- 25 paying participants: 1 free place
- 50 paying participants: 3 free places
- 75 paying participants: 4 free places
- 100 paying participants: 6 free places
Free places are calculated on the final number of paying participants.
6. Cancellation
If the group cancels the trip or reduces the number of participants, the following fees apply per cancelled person:
- more than 60 days before departure: €25 per person, up to 10% of the price
- 31 to 60 days before departure: 10% of the price
- 15 to 30 days before departure: 50% of the price
- from 14 days before departure to the day of departure: 100% of the price
A participant can be replaced by another person free of charge if you inform us no later than 7 days before departure, except for fees charged by a supplier (for example a name change on a ticket).
7. Changes
Any change requested by the group after confirmation (date, programme, departure point) depends on availability and may involve a supplement.
8. Group leader
The group appoints a leader, the only contact person for Évadons-nous. The leader passes the trip information on to all participants.
